Your information

Privacy policy

We take the privacy and security of workers, applicants and employers seriously. This policy explains how personal information is used when you contact or register with TradeForce Recruitment.

1. Who is responsible for your information?

TradeForce Recruitment is the trading name used for this recruitment service. The data controller is the person or legal entity operating TradeForce Recruitment. You can contact us about your personal information at support@tradeforcerecruitment.co.uk.

Before this policy is treated as complete, the controller's full legal name and a suitable business correspondence address must be added here. TradeForce Recruitment is not described as a limited company.

2. The information we collect

For workers, this can include your name, email address, phone number, town or postcode, type of work, preferred employment type, job role, qualifications or cards, availability, preferred working area, experience and any CV you choose to upload.

For employers and other enquirers, this can include your name, business or company name, contact details, location, the roles or services you ask about and the details you include in your enquiry. We may also receive information you choose to send us by email.

Please do not send information about health, ethnicity, religion, trade union membership, criminal records or other sensitive matters unless we specifically request it through an appropriate process.

3. How we use your information

  • To receive and manage worker registrations and employer enquiries.
  • To assess skills, experience, qualifications and availability against relevant work opportunities.
  • To contact you about your registration, enquiry or potentially suitable opportunities.
  • To introduce suitable workers to relevant hiring organisations where this is reasonably expected as part of the recruitment service.
  • To maintain records, protect the website and systems, prevent misuse and meet legal or regulatory obligations.

4. Our lawful reasons for using information

Depending on the circumstances, we rely on one or more of these lawful bases under UK data protection law: taking steps at your request before entering into a contract; our legitimate interests in operating a recruitment service, responding to enquiries and matching people with relevant work; and compliance with legal obligations. Where we rely on legitimate interests, we consider your rights and interests and do not use information in ways that override them.

If we need to process special category or criminal offence information in a later recruitment process, we will only do so where the law permits it and where an appropriate condition and safeguards are in place. The website registration form does not ask you to provide this information.

5. When information may be shared

We may share relevant worker information with a potential hiring organisation when it is appropriate to consider you for a role or assignment. We aim to share only information relevant to that opportunity. We may also share information with service providers who help operate the website and recruitment system, including website hosting and database or file-storage providers, and with professional advisers or authorities where legally required.

We do not sell personal information. We do not share worker details with employers indiscriminately or for their unrelated marketing.

6. Where information is stored and how it is protected

Website applications and related records are stored using Supabase database services. CV files are held in a private Supabase storage area. Website hosting is provided through Vercel. Access to the administration area and CV files is restricted to authorised administrators; CV download links are time-limited. These providers may process information in locations outside the UK. Where an international transfer takes place, the relevant provider must use a lawful transfer mechanism and appropriate safeguards.

We use access controls and security measures designed to protect information. No website or electronic storage system can be guaranteed completely secure, so please contact us promptly if you believe your information has been accessed improperly.

7. How long we keep information

Our intended retention period for unsuccessful worker registrations is up to 12 months after the application is closed or our last meaningful contact with you, unless you ask us to delete it sooner and we are not required or permitted to retain it. Employer enquiries are normally kept for up to 12 months after the last meaningful contact, unless a longer period is needed to deal with the enquiry, a business relationship or a legal matter.

If you are placed into work or enter into a contract or assignment, relevant records may need to be kept for longer to meet contractual, employment, tax, insurance or other legal requirements. We review records for deletion when they are no longer needed. These retention periods are currently managed by review and deletion; automatic deletion after 12 months is not currently configured.

8. Your data protection rights

Depending on the circumstances, you may have the right to request access to your personal information, correct inaccurate information, ask for deletion or restriction, object to certain processing, or request a portable copy. Where we rely on consent, you can withdraw it. These rights are not absolute and some exceptions may apply.

To make a request, email support@tradeforcerecruitment.co.uk. We may need to verify your identity before responding.

9. Complaints

Please contact us first if you have a concern so we can try to resolve it. You also have the right to complain to the Information Commissioner's Office (ICO): ico.org.uk/make-a-complaint.

10. Changes to this policy

We may update this policy when our services, systems or legal obligations change. The latest version will be published on this page. Please check it periodically.
